1. Introduction
Hanux Technologies ("Hanux HRM", "we", "us", or "our") provides a workforce management platform — available on the web and as an Android app — that helps businesses manage attendance, leave, payroll, and related HR operations. This Privacy Policy explains what information we collect from the businesses that use Hanux HRM ("Customers") and their employees ("Users"), how we use it, and the choices you have. By using Hanux HRM, you agree to the collection and use of information as described here.
2. Information We Collect
We collect the following categories of information as part of operating the platform:
- Account & profile information: name, corporate email, personal email, phone number, date of birth, gender, nationality, marital status, home address, and profile photo.
- Employment information: department, designation, employment type, work mode/shift, reporting manager, joining date, salary, and leave balances.
- Bank & tax information: bank account details, IFSC/routing number, and tax identifiers (e.g. PAN), collected for payroll processing.
- Identity & verification documents: government ID, address proof, offer letters, employment contracts, and other documents an employer requires on file.
- Biometric data: a reference selfie and a facial feature descriptor, used only to confirm it's really you when you punch in or out. This is only collected if you choose to set up face verification, and is used strictly for identity matching at punch-in — never for any other purpose.
- Location data: your device's location at the moment you punch in or out, used to confirm attendance is being marked from an approved work location (geofencing). We do not track your location continuously or outside of the punch-in/punch-out action.
- Attendance & work activity: punch-in/out times, breaks, leave requests, performance reviews, reimbursement claims and receipts, and other day-to-day HR activity you or your employer record on the platform.
- Company & billing information: for the business account owner — company name, GSTIN, billing address, and subscription/payment details, processed through our payment processor.
- Device & usage information: IP address, browser/device type, and login session information, used for account security (e.g. detecting new sign-ins).
3. How We Use Your Information
We use the information above to:
- Provide core features — attendance tracking, leave management, payroll calculation, and document/records management.
- Verify employee identity at punch-in through face verification, where an employer has enabled it.
- Confirm attendance is being marked from an approved location, where geofencing is enabled.
- Send account-related notifications — leave approvals, payroll runs, reminders, and security alerts (e.g. new sign-in, password changes).
- Maintain the security of accounts and prevent fraud or unauthorized access.
- Process subscription payments and manage billing for Customer accounts.
- Respond to support requests and improve the platform.
- Comply with applicable labour, tax, and other legal requirements.
4. Who Can See Your Information
Employee information is visible within the employing company's own account — an employee's Admin/HR can view and manage the records needed to run HR and payroll for that company. Employees can view their own records through their self-service dashboard. We do not make one company's data visible to another company using Hanux HRM.
We do not sell personal information. We share information only with:
- Service providers who help us run the platform (e.g. cloud hosting/database, email delivery, payment processing), bound to only use the data to provide that service.
- Law enforcement or regulators, only where required by law.
- A successor entity, in the event of a merger or acquisition, subject to the same protections described here.
5. App Permissions (Android App)
The Hanux HRM Android app requests the following permissions, each used only for the stated purpose:
- Camera: to capture a punch-in selfie for face verification, where enabled by your employer.
- Location: to confirm attendance is marked from an approved work location, where geofencing is enabled by your employer.
- Storage/Photos: to attach documents or receipts (e.g. for reimbursement claims) that you choose to upload.
None of these permissions are used to track you outside of the specific action you take (punching in/out or uploading a file).
6. Data Security
We use industry-standard measures to protect your information, including encrypted connections (HTTPS), hashed passwords, HTTP-only session cookies, and role-based access controls so that only authorized users (e.g. a Customer's own Admin/HR) can view employee records. No method of transmission or storage is 100% secure, but we work to protect your information using measures appropriate to its sensitivity.
7. Data Retention
We retain personal information for as long as the employing company's account remains active, or as needed to comply with legal, tax, and labour record-keeping obligations. When a company account or an individual employee record is deleted by an Admin, associated data is removed in line with that request, except where we're required to retain it for legal or compliance reasons.
8. Your Rights
You can request access to, correction of, or deletion of your personal information by contacting your company's Admin/HR (who manages your employee record), or by writing to us directly at support@hanux.org. We'll respond to verified requests within a reasonable timeframe.
9. Children's Privacy
Hanux HRM is a workplace management tool intended for use by employers and their employees. It is not directed at, and we do not knowingly collect information from, children under the age of 16.
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we'll update the "Last updated" date below and, where appropriate, notify Customers through the platform.
